Our goal is to assist organizers with running SAFE, HIGH QUALITY, and WELL-ORGANIZED events. It is mandatory that any organizer interested in applying for USAU event sanctioning first read the following guidelines which are required for hosting a USAU sanctioned event. The following requirements have been established by the USAU staff in collaboration with qualified committees in order to provide a standardized level of quality across the organization's events, sanctioned and affiliated activities. These are considered a minimum standard and organizers are always encouraged to exceed these expectations!

- 1. Liability Insurance
- 2. Merchandise/Resource Discounts
- Receive an assortment of merchandise and resource discounts on items such as discs, rulebooks, spectator guides and ads.
- 3. New Member Rebates (leagues only)
- League must have >=100 participants.
- New members must pay the full annual membership rate (intro rates do not apply) and may not have participated in previous or concurring event.
- All conditions of the sanctioning application must be met (complete participant waiver and membership/fee compliance, all event materials received by the deadline, etc.).
- Rebate is $5/new member with a maximum rebate of $500.00
- Funding for this program is limited and determined annually. Issuance of rebates is subject to the discretion of USA Ultimate.
- Affiliates receiving the affiliate rebate are not eligible for this program.

- 5. USA Ultimate Support Staff
- Event managers will have a USAU staff member serve as their primary contact and resource for USAU policies and procedures. Staff will also assist with communications to event participants regarding event requirements.

- All event managers will have access to USAU Competition, Formats, Conduct, Standing Rules and Observer committees to assist with questions regarding their event.

- 10. Online Rostering
- The online rostering system is available for all events. Upon acceptance of the application/contract, new sanctioned events are added to the online system and are accessible to the event manager through their USA Ultimate account.
- 11. Score Reporter
- All event managers can use and receive assistance with the score reporting tool for the purpose of managing their event schedule, format and results.
- 12. Follow-up Survey and Results
- Participants at all events are sent a follow-up event survey. Event managers may request a copy of the survey results 3-4 weeks after the conclusion of the event.

- 1. Rules and Player Eligibility
- All events must use the current edition of USA Ultimate rules (including Spirit of the Game). Experimental rules must be pre-approved by USA Ultimate.
- Organizers must be aware of the current college eligibility rules and must be aware that participation in a sanctioned event may initiate a player’s college eligibility period.
- Any player that has been suspended or is appealing a suspension from USA Ultimate Conduct Committee may not participate in a USA Ultimate sanctioned event.

- 1. Prior Organizer Experience/Training
- Applicant must be a current USAU member in good standing and over 18 years of age. All applications are subject to approval.
- 2. Registration Requirements: Notice to Teams/Players
- Publish that the league is sanctioned by USA Ultimate.
- Announce player and event registration requirements.
- 3. Communication
- All organizers must communicate the following information to teams/players attending the event:
- Hospital/safety and on-site emergency info
- Schedule
- Format
- Field directions
- Event contacts
- 4. Player Registration and Membership
- Before play can begin, all participants must:
- 5. Rostering Process
- All participants must be listed on a roster for that event.
- Initial rosters must be received within one week of the event start date and initial waivers/fees within two weeks of the event start date.
- Roster format: There are three ways that league rosters can be submitted. Please note that handwritten rosters are no longer accepted for leagues
- Rosters may be entered in the USA Ultimate Online Rostering System (this requires names and ID#s for all players).
- An excel file listing all players can be emailed to sanctioning@usaultimate.org. The file must contain the following for all players; name, USAU ID# (if known), phone, address, email, birthday, gender.
- The USA Ultimate Sanctioned Event Roster Form can be used and emailed to sanctioning@usaultimate.org.
- 6. Post-Event Deadlines
- Final event materials must be sent to USAU no later than 5 business days (postmarked) after the event. Send via priority mail or comparable. Event materials are the responsibility of the event manager until received by HQ.

- 1. Water/Bathrooms
- Availability of water and bathrooms at the event field site(s) must be communicated to all players prior to the event.
- 2. Fields
- Must use safe athletic fields with cones and safety buffers (minimum of 3 yds to equipment, 4 yds between fields, 5 yds to hazards/padding).
- Event managers must avoid destruction of fields, communicate with field provider re: weather policies and field use, and obtain any required permits and permissions to use fields.
